Transfer Credit Authorization Form
What the Form Does
Firstly, the Transfer Credit Authorization Form (TCAF) acts as an agreement between the student studying away and Roanoke College. It gives the student confirmation that the selected courses have been approved and, once taken and passed, will be transferred in as Roanoke College transfer credits (assuming a Final Grade of C- or above). Naturally, this makes it for most students the most important document related to study away.

Student
How to complete the form
- Type the name of the Program and/or Host Institution with its geographic location.
- Select the semester and type in the year in which you are taking this course.
- Input the name of a course and the number of credits for that course. Use the name and designation given by the host institution, not a Roanoke College course. Important: the number of credits will not match Roanoke College units!
- Input the Course Description. Generally, you can copy/paste from a website directly into this box.
- If you have a syllabus, upload it.
- Last, and most important: Input a clear explanation for how this course will count towards your graduation requirements at Roanoke College. Example: I am taking this to count as INQ 271; or, I am taking this to count as a Business Major elective. IMPORTANT: If you want a course to count for more than requirement (for example, an elective for two different majors, etc.), you add another course. Under each course, say which specific requirement this course is supposed to fulfill.
- Click "Add More" until you have completed your planned schedule of classes (we recommend getting approval for at least 8 courses to give yourselve more flexibility to change your mind without having to revisit this form).
- Click "Submit"

Semester & Year: Spring 2027
Course Name & Credits: BUS 355 - Digital Marketing: Tuscan Wine & Wineries, 3 credits
Course Description: [Copied from here] This course offers an overview of the most important digital marketing theories and techniques as applied to wine, with a special focus on wines from Tuscany. Students will analyze the wine markets of the world, consumer segments, companies’ communication and hospitality strategies and will participate in a practical exercise designed to give them the opportunity to shape an online marketing plan for a prestigious Tuscan winery. In addition, students will learn the importance of describing the sensory experience of wine and acquire the particular vocabulary necessary to describe wines from Tuscany to potential customers.
Explanation: I am taking this course to count for an elective in my Marketing major.
Advisor
When the student completes their form, they indicate to Global Engagement if the course should count towards a Major, Minor, or Concentration requirement (or for a general education requirement). In that case, the form is directed towards their assigned advisor in that Major, Minor, or Concentration to confirm ("approve") or deny.
After the student completes their portion of the form, Global Engagement pushes the form to their assigned advisor for consideration; after the advisor approves, the form is shunted to the chosen Assistant Dean or other Approver.
How to complete the form
- Review the information entered by the student -- there should be a study away program name, a semester/year, and the name of a specific class they are planning to take while away, including the number of credits (NOT ROANOKE COLLEGE UNITS -- this credit number will be from the institution). The student will also have included their rationale for taking that specific course.
- Select either approve or deny for this specific course. If you know the selected course will NOT be approved, denying at this stage will save the student time. If it is possible to count, approve the form so that it can go to the Assistant Dean or other chosen approver. Note: if you have concerns or uncertaintities, please use the NOTE function and pass these concerns along to the approver and Global Engagement.
- Select the RC Equivalent of the student's study away course. If there is no direct equivalent, choose "None-Listed."
- If you chose "None Listed," explain which specific Major/Minor/Concentration Requirement their course would fulfill. If the course is purely elective, write "General Elective Credit."
- Click "Get Approver"
- Choose the appropriate approver from the list. Approvers include Assistant Deans and the heads of Honors, General Education, and Global Engagement. Note: If the course is for "General Elective Credit," select Global Engagement as the approver.
- Select the program, meaning the type of requirement fulfilled.
- Major - this should have an RC equivalent course
- Major/Minor/Concentration Elective - this does not require an RC equivalent course
- Minor - this should have an RC equivalent course
- Concentration - this should have an RC equivalent course
- General Education (INQ/HNRS/HHP/Language)
- General Elective - choosing this means the course does not count towards the student's current Major/Minor/Concentration, but only towards the number of RC Units necessary for graduation
Assistant Dean (Approver)
In addition to granting approval for the course, Assistant Deans overseeing various Majors, Minors, and Concentrations must indicate if the transfer will require a Program Exception form. When the student completes their study away program and Global Engagement receives their official transcript from their host institution, Assistant Deans will then be requested to complete a Program Exception form.
How to complete the form
- Review the form, including the student's entered information (course name, number of credits, course description) and any notes entered by the advisor and/or Global Engagement
- Review the Advisor's approval, which indicated the specific program requirements that this specific course would fulfill.
- Select either Approve or Deny. Choosing DENY will require a note explaining your decision. For example, you might require that a syllabus be attached - the student will have a chance to append a syllabus and request approval a second time.
- Indicate whether or not this course will require a Program Exception Form
